Q. My file won’t upload. What’s wrong?

A. There are a number of things that could be causing your file to have difficulty uploading. Please read the following list of common mistakes and check your file. After updating your file, if you are still having difficulties with uploading, please reach out to help@arktest.com

  • Column headers: All the column headers from the original import template MUST remain and in row 1 of the spreadsheet. The headers all being present in the top row allows the program to know where it’s pulling information from and it will have difficulty recognizing any information if those headers are not there. If you don’t have information for all the columns (e.g. your students don’t all have emails), that’s okay! You can leave them blank and the program just won’t pull any information. But the headers must remain. The only columns that MUST have information in them are First Name, Last Name, DOB, sex, Catholic, and School Student ID.
  • Y/N columns: The columns for Catholic, ESL, Gaps in Catholic Education, and Accommodations all must be in the format ‘Y/N’. The program won’t recognize any writing in those columns other than Y/N
  • Male/Female: The column for Male/Female must be written in M/F format. The program won’t recognize any writing in those columns other than M/F. This includes the words Male/Female. It MUST be M/F/
  • Grade level: Grade level must be in numerical format of 2, 3, 4, etc. The program won’t recognize it if it’s written in words or if there are leading zeros. Leading zeros changes the format of the excel spreadsheet and the program cannot recognize the new format. The program also cannot recognize words placed in this column, it must be a numerical number.
  • Date of birth: The date of birth column must be in mm/dd/yyyy format. The program won’t recognize any writing in those columns not in this format
  • ARK class ID: The column for ARK class ID is a specific 5 digit number that's generated by the ARK tool when you add classes. As such, the program doesn't recognize any wording or numbers that do not reference back to any tool generated ARK ID. If you have not yet created classes, you will not have any ARK class ID to place here. If you’d like to use this tool to auto populate your students into classes, please see the section on ARK class ID.
  • File type: Save the file as a .csv UTF-8. The program won’t recognize any .xlsx, .pdf, or numbers files.

Q. I just uploaded my new students but I can’t find them. Where are they?

A. When new students are added into the ARK tool, they are given a new ARK student ID. The newer ARK student ID's are higher in number. As such, newer students who are added into the system often appear at the bottom of the list, or on the last page of students. The search bar only searches for students on the current page. If you click the ‘Filter’ button, type the student's name in the bar, and then press ‘Apply’, your student should appear. You can also scroll to the bottom of the page and click the button that says 'View all Students' this button will bring all your students onto one page, you can then use the search bar to find your students. You can also filter by last name once on this screen to find your student.

Q.  I am a Center Admin, but I also need to be a teacher. Why won’t it let me add myself as a teacher?

A. You do not need a separate teacher account if you already have a center admin account. While you won't be listed on the teacher list, you can still be selected as a teacher of a class or a proctor of a testing section.

Q. I am a teacher, but I also need to be a proctor. Why won’t it let me add myself as a proctor?

A. You do not need a separate proctor account if you already have a teacher account. While you won't be listed on the proctor list, you can still be selected as the proctor of a testing section.

Q. Why are my teachers showing as ‘No’ for religion teacher?

A. The designation for religion teacher changes when you assign them to a class. Thus, if you add a class and assign them to it, their designation for religion teacher should change from 'No' to 'Yes'.
