Common Errors With Uploading and How to Fix them

Import Student Spreadsheet Uploading Errors

Problem #1: The singular MOST common error with uploading relates to the ARK class ID. Please check that column first.

Solution: The column for ARK class ID is a specific 5 digit number that's generated by the ARK tool when you add classes. As such, the program doesn't recognize any wording or numbers that do not reference back to any tool generated ARK ID. If you have not yet created classes, you will not have any ARK class ID to place here. You CANNOT create your own ARK class ID. Only the system creates those numbers. If you put ANY number besides the one created by the ARK tool when you created classes, the file will be rejected. If you’d like to use this tool to auto populate your students into classes, please see the help section on ARK class ID.

Problem #2: Not all the column headers are present.
Solution: ALL the column headers from the original import template MUST remain and in row 1 of the spreadsheet. The headers all being present in the top row allows the program to know where it’s pulling information from and it will have difficulty recognizing any information if those headers are not there. If you don’t have information for all the columns (e.g. your students don’t all have emails), that’s okay!  Only First Name, Last Name, DOB, sex, Catholic, and School Student ID all MUST be filled out for the file to upload. You can leave the others blank and the program just won’t pull any information. But the headers must remain

Problem #3: Not all the necessary columns have information in them

Solution: First Name, Last Name, DOB, sex, Catholic, and School Student ID all MUST be filled out for the file to upload. The other columns can be blank, but the headers still must remain

Problem #4: The columns have information in the wrong format

Solution:

  • Y/N columns: The columns for Catholic, ESL, Gaps in Catholic Education, and Accommodations all must be in the format ‘Y/N’. The program won’t recognize any writing in those columns other than Y/N. That includes "Yes" and "No". The program WILL NOT recognize those words. It MUST be Y or N
  • Male/Female: The column for Male/Female must be written in M/F format. The program won’t recognize any writing in those columns other than M/F. This includes writing out "male" or "female" the program WILL NOT recognize the full words. It MUST be M or F.
  • Grade level: Grade level must be in numerical format of 2, 3, 4, etc. The program won’t recognize it if it’s written in words or if there are leading zeros. (e.g. DO NOT write "second", "third", "fourth", etc. and DO NOT write 02, 03, 04 for grade levels. The sheet WON'T upload.
  • Date of birth: The date of birth column, must be in mm/dd/yyyy format. The program won’t recognize any writing in those columns not in this format
  • ARK class ID: The column for ARK class ID is a specific 5 digit number that's generated by the ARK tool when you add classes. As such, the program doesn't recognize any wording or numbers that do not reference back to any tool generated ARK ID. If you have not yet created classes, you will not have any ARK class ID to place here. If you’d like to use this tool to auto populate your students into classes, please see the section on ARK class ID. You CANNOT create your own ARK class ID. Only the system creates those numbers. If you put ANY number besides the one created by the ARK tool when you created classes, the file will be rejected.
  • File type: Save the file as a .csv UTF-8. The program won’t recognize any .xlsx, .pdf, or numbers files.
